Manager Retrieval Services

We are seeking a strategic and detail-oriented Manager, Retrieval Services to oversee end-to-end chart retrieval operations across multiple vendor and payer engagements. This role requires a strong project management foundation, a deep understanding of healthcare workflows, and the ability to lead cross-functional teams in a high-stakes, compliance-driven environment.

Key Responsibilities:

• Lead and manage chart retrieval programs with external vendors, health plans, and provider networks

• Own all phases of project delivery—timelines, budgets, vendor SLAs, and performance KPIs

• Track retrieval volumes and completion rates; report progress against goals using project dashboards and status reports

• Act as the key liaison between retrieval vendors, internal IT/data teams, and client stakeholders

• Ensure HIPAA compliance and secure documentation practices throughout all stages of retrieval

• Support internal and external audits, escalate and resolve issues, and manage remediation plans

• Collaborate with analytics and coding teams to prioritize high-value retrieval targets that maximize ROI

Qualifications:

• 3–5+ years of project or program management experience, ideally in healthcare or risk adjustment environments

• Deep understanding of CMS risk adjustment, HCC coding, and chart retrieval workflows preferred

• Prior experience managing vendors such as Datavant, Change Healthcare, CIOX, or similar

• Proficient in Excel, project tracking software, and reporting dashboards (e.g., Smartsheet, Monday.com, Tableau)

• Comfortable handling multiple workstreams and tight deadlines in a fast-paced setting

• PMP or equivalent project management certification preferred

• Familiarity with Medicare Advantage, ACA risk adjustment programs, and HIPAA/HITECH regulations strongly preferred
