We are seeking a proactive and outgoing Administrative Assistant to support our insurance agent in delivering exceptional service to our clients. The ideal candidate will be organized, detail-oriented, and comfortable engaging with a diverse clientele.

Key Responsibilities

  • Assist the insurance agent in managing day-to-day administrative tasks, including scheduling appointments, answering phone calls, and responding to emails.
  • Prepare and organize documents related to Medicaid and Medicare insurance applications.
  • Track and follow up on client inquiries, ensuring all documentation is complete and up to date.
  • Provide excellent customer service by greeting clients, answering questions, and addressing concerns.
  • Maintain accurate client records and manage database entries with confidentiality.
  • Handle general office duties such as filing, copying, and data entry.
  • Coordinate communication between the insurance agent, clients, and third-party providers.
  • Support marketing efforts by assisting with outreach initiatives and client follow-ups.

Qualifications

  • Proven experience as an administrative assistant, preferably in the insurance or healthcare industry.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable interacting with a diverse client base, particularly seniors.
  • Knowledge of Medicaid and Medicare insurance processes is a plus.
